What Does It Cost to Switch Prop Firm Software?
The new vendor's migration invoice is only one component of switching cost. A live firm must preserve customer identity, account state, challenge progress, trading history, payout eligibility and operational continuity while integrations are rebuilt and two systems may run in parallel.
The switching-cost equation
Current vendor migration signals
| Provider | Public migration signal | What it means for the buyer |
|---|---|---|
| PropForge | Publishes $0 migration/setup for switching firms, parallel testing and zero-downtime positioning | Low visible migration fee; verify source-system limitations and contract scope |
| Propriotec | States migration at no additional cost and typically 5–14 days depending on complexity | Ask for a written data inventory and acceptance criteria |
| Execurve / PropScale | States zero-downtime migration, two months free and up to 10 workflow-critical features built during onboarding | Potentially offsets overlap/customization cost; define which features qualify |
| Tradaxi | Enterprise publishes hands-on migration | Migration scope appears plan-dependent |
1. Contract overlap
Parallel operation is often safer than a hard cutover, but it can mean paying both vendors. Review termination notice, minimum term, prepaid annual fees and data-access rights before setting a migration date. A “free migration” does not eliminate an old contract.
2. Data mapping and remediation
Decide which system is authoritative for customer records, trading accounts, challenge state, KYC, transactions, affiliate attribution and payout history. Duplicate identities, inconsistent statuses and undocumented spreadsheets are migration work even when the new vendor does not charge for import.
3. Account and rule state
A trader is not just a row in a CRM. The new system may need balance/equity context, evaluation phase, breach state, retry/reset history, funded status and payout eligibility. Define reconciliation tests before cutover.
4. Integration rebuild
Payment processors, KYC, email, domains, trading platforms, analytics, affiliates, webhooks and support tooling may require new credentials or configuration. Build an integration inventory before accepting a migration quote.
5. Operational risk
Quantify what happens if accounts cannot be provisioned, payout state is wrong or traders cannot log in. Define rollback thresholds in advance rather than deciding under launch pressure.
Migration acceptance checklist
- Record counts reconcile by entity type.
- Sample accounts reconcile balances and lifecycle state.
- Active challenges preserve correct rules and phase.
- KYC state maps correctly without unnecessary document duplication.
- Payout history and eligibility are validated.
- Payment, email and trading integrations pass production-like tests.
- Old and new systems can run in parallel where needed.
- Rollback criteria and owner are documented.
- Data export from the old vendor is archived securely.
Do not choose a vendor only because migration is free
Free migration is commercially attractive, but the destination still has to improve long-term economics, reliability and operating fit. Compare the new platform using our cost guide, migration playbook and enterprise procurement guide.
FAQ
Can prop firm software migration be free?
Some providers publicly offer migration at no additional vendor fee. The firm can still incur contract overlap, internal labor, integration work and operational risk.
What is the biggest migration risk?
For a live firm, preserving authoritative account and lifecycle state while operations continue is usually more important than simply copying customer records.
